Summary Job Description
Reporting to the Director and supporting the Program Manager, the Administrative Coordinator of the Alliance program is responsible for assisting in daily operational and administrative aspects of the Alliance program.

Responsibilities:

Creates and maintains clear and detailed filing/archives systems and data bases to support the Alliance community of Faculty and students, mobilize it and grow it over time.
Assists with the preparation and distribution of working materials
Assists with planning meetings and events
Responsible for the production and tracking of all correspondences and documents.
Support the program manager in the grants management.
Edits and proofreads communication materials; ensures quality control of the Alliance communications and calls for applications
Assists with preparation of presentations and public documents (including website and social Medias)
Ensure the frontline communication with students who inquire about programs, grants and study abroad opportunities.
Prepares and processes invoices and travel and business expense reports. Liaises with vendors and various units at Columbia to perform other finance-related duties as assigned.

Performs other duties as assigned in support of the Alliance program.

Minimum Qualifications for Grade:
Applicant MUST meet these minimum qualifications to be considered an applicant:

Bachelor's Degree and/or its equivalent required.  

Additional Position-Specific Minimum:
Applicant MUST meet these minimum qualifications to be considered an applicant:

*Two years of related administrative support experience and knowledge of office practices and social medias, including a high proficiency in all aspects of Microsoft Office (Excel/Power point/Prezi presentations).
* Knowledge or willing to take the assessment of Columbia University accounting and reporting system: ARC (Accounting and Reporting at Columbia)
* Detail-oriented with strong written and oral communication skills
* Ability to work independently, set priorities and manage competing demands
* Strong interpersonal skills and the capacity to exercise good judgment with a high degree of diplomacy, confidentiality and discretion demanded by the needs of the University's varied constituencies
* Reliable and flexible, with the ability to work well with others in a dynamic team environment.

Preferred Qualifications
French language skills
